Text templates are a new feature in EncaptureMD Version 8. They convert any text area into a template selector. Making a text area into a template requires access to the EncaptureMD developer. A text template can be identified by the small Document icon in the upper right of the text area.
Templates are individualized but can be shared with other users.
Note: A template is specific to the text area where it is created. There can be more than one text template in an application. Each text template has its own unique set of templates.
Using a template
Click on the document icon (not the </> icon) to open the template.
Select the template to use by clicking on the row.
NOTE: Make sure to clear the author filter (red circle) to see shared filters.
The text from the template will now be inserted into the text area.
Managing Templates
Any user can create, modify, share or delete their own templates.
To manage templates, (1) click the Document icon then (2) click the Manage Templates button
The template editor is now open. (1) Select a template in the row and (2) it is available for editing on the right. Each template has a name, an author an indication of whether it is shared with others and a text body.
There are different editing options:
- Basic
- Basic works best for simple changes that do not require formatting
- It is the default editor
- Advanced
- This is more of a word processor
- It allows formatting
- It is accessed by clicking the <> icon at the top right of the editor.
- HTML
- This low level editor allows for manipulation of HTML code
- It is accessed from the </> button in the Advanced editor menu.
With the advanced editor, the user can add tables, bold, italicize, underline, etc text, create headers and paragraphs and work with lists. Any spelling and grammar issues will be displayed as below.
NOTE: If text is pasted in from a word processor, it can contain formatting including fonts that may not be present in EncaptureMD. Best practice is to save a word processor file as text-only then import, but another solution is to paste in the text then highlight all the text and then click the Clear Formatting button in the editor. This may require some spacing adjustment afterwards.
The HTML editor is for expert use. You must have a strong working knowledge of HTML to edit here and is generally not necessary.
Sharing
Users can share templates with others. A shared template is available for others to use. To share a template, click the Share switch. You'll see the template is now shown as shared in the table
A set of templates can also be exported to a file then imported to another server or location if required. The Import and Export All buttons achieve that function.
