How to use Billing Set Phrases

Updated on

Billing set phrases can be used for multiple purposes. If a user-defined procedure is chosen, these phrases become available as tokens that can be used in reports directly or can be referenced in validation errors or actions.

Note: This requires admin privileges

Add/modify billing set phrases

Open the billing/order manager from the main page (not shown)

  1. Choose a billing set from the list on the left
  2. Click Phrases/Details
  3. The column header names (like Needs fluoro error check) offer a convenient area to define the meaning of the column. The reference field token for this column is "Phrase2". This column is used to indicate whether this procedure requires fluoroscopy which is enforced using validation (error or warning) in the application.
  4. This column is similar to (3) but is used for an LAAO validation check (may display as an error or warning in the application).
  5. In the example below, this column is used for secondary classification needed by the customer's EMR.

The data within the columns may be changed by an administrator but their function is defined within the app developer.

When updating a billing set (e.g. adding a new billing procedure) it is important to understand if the customer's system is set up to use phrases to control validation or EMR categorization. If so, then these columns must be addressed in order for the system to work as designed.

The values in the columns are determined by how the developer is designed. Typically a true/false flag is set as a 1 or 0 with 1 being true. EMR categories as seen in (5) above are defined by the EMR and must be accurately entered based on these EMR values.
