EncaptureMD Documentation & FAQ

Corporate Entity, Location, Lab and App configuration

Updated on

Please read article How do I set up my account's location first. That is a design document. This article covers the way to achieve the design.

Corporate Entity (CE)

This is the highest level of a single organization. There is a way to link CE's together in situations where reading groups need to move between CE's. Possible criteria for distinguishing a CE are

  • It is the highest level in an organization.
  • It often has a single electronic medical record, but may have more than one in some situations.
  • It is composed of one or more locations (physical or logical) owned by the organization.
  • It employs people who work in one or more location.
  • It is where EncaptureMD sends the bill for our services.

Setting up the CE is mostly covered in the article Using the Account Admin.

The CE/Location/Lab/App list

Hierarchical organization. CE is always first in list. Apps must be in labs, Labs must be in Locations, Locations must be in the CE.

Location

A CE may have one or more locations, but must always have at least one. Locations are the second level in the hierarchy. A location is usually a different physical location, like the main hospital or satellite hospital or a hospital and an outpatient clinic. A location may be logically separate such as a different service within the same physical location.

  1. To add a new location, select the CE or any other location and click Add Location. To add a lab to a location, click Add Lab.
  2. Report Customization can be done at the Location level. Configurations are done the same way as the CE level, but these definitions will override the CE definitions for this location. Use this to set a different header or footer if required for a specific location. Override is specific to the report element, so only edit the information specific to this location. An example would be a location with a different name, address or phone number.
  3. Give the location a long and short name. Keep the short name short but recognizable.
  4. Adding an address to a location is not essential but if added, it becomes a token that can be included in reports either in the demographics, header, footer or report body. Click the Make Address Same as Account button to copy in the address that exists at the CE level.
  5. External Account ID - Deprecated.
  6. There can be more than one patient ID defined. This allows for a patient to have different historical IDs and even a universal ID.
    1. To add a new ID, click the combo box and select Configure Patient ID Definitions...
    2. Then click +Patient ID Definition in the new pop up and add the information, then click OK.

Note: deleting locations should only be done when no studies exist in a location. Consult EncaptureMD before deleting a location or lab. This may not be reversible and may cause data loss.

Note: Patient Id Definitions should only be added or changed after consulting with the EncaptureMD Team.

Labs

A lab is usually a place where procedures are performed. Labs are in locations and have apps assigned. A CE must have at least one lab in one location.

  1. Give the lab a descriptive name
  2. Report customization works the same way as Location and CE. Modify report customization if you want a custom header, demographics or footer for this lab. Otherwise, it defaults to the location or CE.
  3. Address can be left blank. But if required, it can be entered or made the same as the location by clicking the Make Address Same as Location button.
  4. The time zone will default to the same as the CE. If this lab is in a different time zone, set that here.
  5. Labs can have associated inventories. The Inventory must be created using the Inventory Manager before it can be assigned to a lab. Labs can share inventories or can have separate inventories.
  6. The session time out is the time before the system auto-logs out when a user session is inactive in an application. This can be different between labs (e.g. an echo time out can be shorter than a Cath or EP lab time out.) Set the time out to be long enough so that the user does not get frustrated with the system logging them out but short enough that, when using the per-seat license model, the license does not stay locked for a long time if the user forgets to log out. 15-30 minutes is typical for echo or other non-invasive labs. Local IT may also have rules on how this is to be set based on workstation security requirements.
  7. The File/Image Upload URL - Deprecated
  8. One or more apps can be assigned to a lab. Click this area to add or remove apps. Apps must be loaded into the CE before they can be assigned to a lab using the App Manager. This is usually done during initial setup by EncaptureMD support. If an app is missing, contact support.
  9. When Scheduling is active, rooms can be assigned to a lab. Use the Schedule Manager to set up rooms before assigning them to labs.
  10. Like locations, labs should not be deleted without consulting EncaptureMD support.

Note: deleting labs can only be done when no studies exist in a lab. Consult EncaptureMD before deleting a location or lab. This may not be reversible and may cause data loss.

Apps

  1. Report configuration allows an admin user to determine which reports are present in each app for each lab.
  2. This section shows the user groups with access to this app in this lab.
  3. HL7 validation may be controlled here for customers utilizing HL7 integration. Setting validation allows end users to be alerted when key fields such as Order ID, DICOM Accession Number, Exam Code are missing from a study. The validation may either be a Warning ("soft stop") or Required ("hard stop"). Required validation must be addressed before a user is able to sign a report.
  4. Misc controls the following
    1. Auto append PDF - if a PDF is in the Attachments tab of a study and this box is checked, for this lab, those PDFs will be appended at the end of the final report. An example of this use is when waveforms are imported as a PDF into a study and the customer wants those to always be appended, this check box will do that
    2. Disable default billing validation will disable the built-in billing validation. Examples of this validation are showing if, on a bill, that a CPT code requires specific ICD codes. Billing must be active for this customer for this checkbox to have any effect.
    3. Allows the customer to require that users manually import measurements rather than having auto import when a study is opened.
  5. This section allows admins to hide views not used in this lab.

Configuring web-based viewer

This section requires knowledge of the way the web-based viewer is expecting to be called. Once that information is known, the Open Type combo box can be chosen and the "grip" icons can be used to drag username, etc into the open type URL definition.

Example of web-viewer configuration

QR code URL setup information requires assistance from EncaptureMD support.
